An opportunity has arisen for a data entry administrator to join our team for approximately 25 hours per week (5 hours per day Monday to Friday, must work mornings).

There will be an additional requirement for the successful candidate to cover other members of the admin team for annual leave as cover cannot be provided by other departments.

Computer literacy and a keen eye for attention to detail is an extremely important attribute for this role as it will involve transferring over data from hospital systems to our patient data base. You will also need to have had some previous administration experience.

Candidates will need to be methodical, 100% accurate with data entry, can multi task and be able to use several different computer applications at the same time and will need to be totally reliable. There will also be a need to take and make outgoing telephone calls so an excellent telephone manner is essential.

We are looking for an enthusiastic Office Junior to join our team.

Our business involves looking after private medical consultants across the UK from our office based in East Farleigh, near Maidstone. The tasks for this role are admin based so it is a great opportunity for someone who is looking to start their administration/secretarial career. You will be supporting our busy team of Practice Managers and the wider KMS team with duties such as:

  • updating consultants diary from hospital systems, telephoning patients for biographical information
  • scanning in documents
  • checking faxes and distributing to appropriate member of the team
  • dealing with incoming / outgoing post
  • chasing patients blood / xray results for clinics
  • taking off answerphone messages and passing onto teams
  • general help around the office (making drinks, helping to keep the office tidy)
  • answering the telephone and taking messages

We are a small friendly company but our environment is a fast paced one so you will need to have a keen eye for detail and accurate data entry. It is also important that you have professional qualities which will enable you to answer the telephone if required, however full training will be given for all of the tasks.

There are also opportunities to be able to progress with us in our roles, to Practice Assistant , Practice Manager and beyond.

Due to the rural nature of our office, you will need to be a car driver or have access to come into East Farleigh train station which is 10 minutes walk to our office.

Do you have a talent for administration, teamwork and dealing with people? If so, this role is for you!

We are looking for a happy, smiley and cheerful employee, with a good sense of humour who can be sympathetic and compassionate when required to join our team as an experienced administrator.

The successful candidate will undergo a thorough training programme with our in-house trainer to enable them to undertake medical administration involved with running Consultant practices.

This is a fast-paced environment where you will deal with a constant flow of enquiries from patients, hospitals and consultants over the telephone as we are a remote service. This role focuses on efficient and accurate admin duties which include making appointments, proof reading letters, ensuring results are available for clinics, booking operations and raising invoices.

This means that communication is key and due to the nature of the role you will need to swap between different IT systems, phone calls and tasks remaining focused at all times.

Essential requirements:

Taking ownership of tasks and ability to prioritise
Be able to work to tight deadlines, work under pressure but always remaining calm
Have exceptional customer service and communication skills
Always work with tact and discretion, maintaining patient confidentiality
Have a proven commitment in previous employment
